How we handle your information.

Salt Landscaping is a trading name of Cactus Retail & Wholesale Australia Pty Ltd (ABN 55 653 232 618, QBCC Licence No. 15583485). We take your privacy seriously. This page explains what personal information we collect through this website, how we use it, who we share it with, and the rights you have over it.
We follow the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth) and apply the same standards to all visitors regardless of where they live.
What we collect
When you submit a form on this site, we collect:
- Your name (first and last)
- Email address
- Phone number (optional)
- Property address (optional, used to view aerial photography of your property before our discovery call)
- Project budget range
- Any project details you choose to share
When you visit any page, our analytics and advertising tools automatically collect:
- Pages you view and how long you stay
- The site or search you arrived from
- Your approximate location (city/region, derived from IP address)
- Device and browser type
- UTM parameters from advertising campaigns
- Cookies set by Google (Analytics, Ads, Tag Manager) and HubSpot
- Anonymised heatmaps and session recordings of how you interact with the page (mouse movement, clicks, scrolls) via Microsoft Clarity. Form-field content is automatically masked.
When you have a discovery call or project meeting with us (held over Google Meet), we may collect:
- An audio and video recording of the meeting — we will tell you at the start of the call when we're recording
- An AI-generated transcript and written summary of what was discussed
- Notes about your project brief, design preferences, budget and any decisions made
How we use it
- To respond to your enquiry and book a discovery call
- To prepare a design and quote tailored to your property and brief
- To deliver landscape design, construction and maintenance services if you proceed
- To run our quoting, project management, designs, scheduling and compliance workflows in our internal operations platform (Trellis)
- To capture meeting briefs accurately and brief the team and subcontractors working on your project
- To improve the website and understand which pages and channels are most useful
- To measure the performance of our advertising and marketing
- To send occasional updates about our work, only if you opt in
Where it's stored
Form submissions and contact records are stored in HubSpot (our CRM). HubSpot recently migrated our data to its Australian data centre, so customer records now sit on infrastructure hosted in Australia.
Once you become a customer, your details, project brief, designs, photos, scopes of work, quotes and meeting notes flow into Trellis — our internal operations and compliance platform. Trellis is built on Supabase (a managed PostgreSQL service) and is the system our team uses day-to-day to run your project.
Meeting recordings, transcripts and AI-generated summaries are stored in our Google Workspace (Google Drive and Google Meet) under our Salt Landscaping account. We may use AI transcription and summary tools to turn recordings into written notes.
Website analytics are processed by Google (Google Analytics 4, Google Ads) and Microsoft (Clarity). The website itself is hosted on Netlify. Each of these providers maintains industry-standard security and complies with their own published privacy commitments.
Who we share it with
We do not sell your information. We share it only with:
- The processors named above (HubSpot, Supabase, Google, Microsoft, Netlify), as required for them to provide their services to us
- Our team (Tim, Billy, Travis, and Salt staff working on your project) — accessed via Trellis
- Subcontractors directly involved in delivering your project, where you have engaged us to deliver work
- Government authorities if legally required (e.g. court order)
Cookies and tracking
This site uses cookies and tracking pixels from:
- Google Tag Manager — manages other tags listed below
- Google Analytics 4 — page views, session behaviour, traffic sources
- Google Ads — measuring ad campaign performance and conversions
- HubSpot — recognising returning visitors and attributing form submissions to their original source
- Microsoft Clarity — anonymised heatmaps and session recordings of how visitors interact with pages (mouse movement, clicks, scrolls). Form-field content is masked.
You can disable cookies in your browser settings, install a tracker-blocking extension, or use private/incognito mode. Some site functionality may be reduced if you do.
Meeting recordings
Discovery calls, design conversations and project check-ins are usually held over Google Meet. We may record these meetings, and we will tell you at the start of the call when we're recording. We use the recordings, transcripts and AI-generated summaries to:
- Capture your brief and any project decisions accurately, so nothing gets missed
- Reference back to your wishes during design and construction
- Brief our team and any subcontractors directly involved in delivering your project
If you'd prefer the meeting not be recorded, let us know at the start of the call and we'll turn recording off. Recordings, transcripts and notes are stored in our Google Workspace and may be linked into Trellis (our operations platform). They are kept only for as long as we need them to deliver your project and to honour our warranty and record-keeping obligations. You can ask us to delete them at any time — see "Your rights" below.
Your rights
Under Australian privacy law you can:
- Request access to the personal information we hold about you
- Ask us to correct anything that's inaccurate
- Ask us to delete your information (where there's no legal reason to keep it)
- Withdraw consent for marketing communications at any time
- Lodge a complaint with the Office of the Australian Information Commissioner (oaic.gov.au)
To exercise any of these rights, email legal@saltlandscaping.com.au. We'll respond within 30 days.
Security
Information is transmitted over HTTPS. Form submissions are sent directly to HubSpot's encrypted endpoints. We rely on the security practices of our processors (HubSpot, Supabase, Google, Microsoft, Netlify) and review our own access controls regularly.
Children's privacy
This website and our services are intended for adults. We do not knowingly collect information from anyone under 18.
Changes to this policy
We may update this policy from time to time. The "last updated" date at the top will reflect the most recent change. Material changes will be communicated to active customers via email.
